Event Room Setup and Audio-Visual Requirements

Audio Equipment

  • Provide a wireless lapel microphone to allow the speaker to move freely and engage with the audience.
  • Ensure a high-resolution projector or screen for presentations, with support for multiple formats (see setup requirements below).
  • Include HDMI or USB-C connectivity options for seamless laptop and tablet integration.
  • Provide a wireless presentation remote with laser pointer functionality.
  • Set up an adequate sound system, including lapel and handheld microphones, to accommodate preferences and ensure optimal audio quality.
  • Ensure a reliable Wi-Fi connection for smooth access to online content during the presentation.
  • Include a non-transparent lectern for storing materials and props, positioned on the speaker's right side when facing the audience.

Recording Policies

  • The speaking agreement does not include audio or video recording.
  • Recording fees can be negotiated separately. If recording is approved, ensure proper synchronization of audience and speaker microphones for high-quality results.

Venue Requirements for Keynotes and Workshops

  • Configure the room with a center aisle to allow interaction with attendees.
  • Provide a 6-foot draped table, perpendicular to the audience, for speaker materials.
  • Position on-stage tables far enough back to enable easy interaction between the speaker and the audience. Off-stage seating is preferred during speeches.
  • Electronic handouts will be sent in advance; prepare copies for all participants.
  • Use the customized introduction provided via email, tailored to your specific audience.
  • Prior to introducing the speaker, request attendees to silence all devices to avoid distractions.

Book Signing Arrangements

  • Set up a 6-foot draped table with two chairs at the back of the room before the event begins.

Additional Tips

  • Have greeters fill front rows first to minimize distractions from latecomers.
  • Position the front row no farther than 6 feet from the stage.
  • Arrange the room wide rather than deep, placing the stage in the middle of the long wall for better audience visibility.
  • If expecting 450 attendees, set up seating for 400 to promote a fuller room and reduce empty spaces.

Travel Information

Travel Arrangements

  • Unless otherwise agreed, csBailey’s agent will handle travel arrangements, including non-refundable coach airfare for two from Atlanta, GA. Clients will be billed for airfare and related expenses.

Hotel Arrangements

  • Clients are responsible for making hotel reservations, subject to the agent's approval.
  • Ensure late check-in guarantees and specify non-smoking rooms. Preferred hotel chain: Marriott or equivalent.

Ground Transportation

  • Provide recommendations for ground transportation (e.g., hotel shuttle, car service, or rental car).
  • Ground transportation will be billed to the client. If using Uber, Uber Black is preferred.
